ASC Technology - Quick Start Guide: Speech Recordings

Recording a Speech Presentation

The library's active learning space is available for speech presentations by appointment. Visit the library's room reservation page to check availability and make a reservation.

In this space, you'll find touch screen Vibe boards and a webcam. Laptops are available for check out nearby at the library service desk in A-201 and a wireless microphone is available at the Student Help Desk in A-201.

If you need assistance, please call the Student Help Desk at 815-224-0318 or the library service desk at 815-224-0306.

Setting up your space and devices:

  • Setup your laptop
    • Power up your laptop. A presenter’s podium is available in the space for your convenience.
    • If you are using a clip on microphone, be sure to plug the USB fob into the laptop before opening Zoom.
    • Open Zoom: zoom.us
    • Log into your Zoom account and click the Host button in the upper right corner of the screen.
    • Select With Video from the dropdown menu
    • If prompted, click the Launch Meeting button
    • Now, your Zoom room is ready to record.

  • Setup the Vibe board
    • Ensure that the webcam is connected to the back of the Vibe board.
    • Power on the Vibe board using the button on the back right side. This button will light up as the board powers up.
    • Tap the home screen / screensaver anywhere to begin
    • By default, the vibe board opens to a blank white board. At the bottom of the screen look for an icon that resembles a grid of nine squares. This will open the Apps menu.
    • Select the Zoom icon on the screen. This will open the board in split screen view with the white board on half and zoom on the other. Press and hold your finger on the dividing line between the two windows and slide it over the white board half of the screen. If you move the line to the edge of the board, Zoom will become full screen.
    • Now, you’re ready to connect the board to your ongoing Zoom session.

  • Connect the Vibe board to your Zoom session
    • On your laptop, look for a small, green icon in the upper left corner of the screen. It will resemble a small shield. Click this meeting information icon to view information about your Zoom session, including the meeting ID number.
    • Once you have your meeting ID number, return to the Vibe board and select Join Meeting on the Zoom screen. You will be prompted to enter the meeting ID number.
    • On the video preview screen, select Join with Video.
    • The Vibe board’s webcam has a microphone installed. In the lower left portion of the menu, you will be prompted to join audio. Tap this message and select wifi. This will activate the webcam’s microphone.
    • Because the close proximity of the laptop and Vibe board can cause interference, you will likely wish to mute the Vibe board’s microphone. You can do this by tapping the microphone icon in the lower left portion of the screen to mute and unmute the device.
    • You can also turn the webcam on and off using the video icon in the lower left portion of the menu. Tapping the webcam view in the upper right corner of the screen will open it in full screen.
    • Now, you’re ready to record your presentation.

Recording your presentation:

  • Ensure that the Vibe board is muted and that the laptop or wireless microphone is turned on.
  • Adjust the Vibe board so that the webcam captures the correct angle. This may include the audience or speaker.
  • When you’re ready, begin recording by selecting the record option on your laptop’s Zoom menu. Zoom will present you with two options: record to computer or record to cloud. If you are using your personal computer, you may choose either option. However, if you are using a library computer, you’ll want to record the session to the cloud. This saves the recording to your Zoom account so that you can access it later. Depending on your Zoom settings, cloud recordings may be deleted after a certain number of days.
  • You can pause or stop the recording at any time using the record button on the laptop’s Zoom menu.
  • Present your speech to your audience. Zoom will record what is shared on the screen.
  • When you’ve completed your speech, select stop recording on the Zoom menu.
  • When you end the Zoom session, Zoom will automatically create a video file on your computer or upload the video to the cloud, based on the preference you selected when you started recording.

Accessing your recording from the cloud:

  • Go to Zoom’s website: zoom.us
  • Log into your account.
  • On the left side of the screen, look for a menu option that says Recordings. This will open a list of all the videos that have been uploaded to the cloud. Please keep in mind that it may take Zoom some time to process longer recordings. These videos may not appear right away or playback features may be disabled until processing completes.
  • Click on the title of the video that you would like to review or save.
  • On the video information screen, you can watch your video, download a copy to your device, or copy a sharable link that can be sent to your instructor. Please review your assignment or contact your instructor for more information.

Shutting down devices:

  • When you’ve finished recording, select the End button in the lower left corner of the Zoom window on your laptop. Then, select End Meeting for All. This will end your meeting and disconnect the Vibe board.
  • If you’ve chosen to record your Zoom video to the cloud or your personal laptop, be sure to wait for Zoom to finish downloading the files.
  • Once Zoom is finished downloading any necessary files, but sure to log out of your Zoom account if you are using a library computer.
  • Tap the power button on the back for the Vibe board. This will prompt the board to open a pop-up window that asks if you would like to shut it down. Select power off from the menu.
