Vibe Board Tools for Tutoring Sessions

Vibe Canvas / Whiteboard

Vibe Canvas can be accessed directly through an app on the board. You can also prepare canvases ahead of time using the browser version for your desktop. Once you've created a canvas, it can be shared with others. Two of the easiest ways to do this are via email and the chat feature in Zoom.

Zoom

Connect with one or more students via Zoom on the Vibe board. Vibe board 1's webcam allows you to connect online participants with those in the Active Learning Space. A Jabra bluetooth speaker is also available at the Library Service Desk to help capture group audio.

Setting Up a Split Screen with Zoom and Vibe Canvas

 
Setting up the Vibe Board:
  • Ensure that the webcam is connected to the back of the Vibe board.
  • Power on the Vibe board using the button on the back right side. This button will light up as the board powers up
  • Tap the home screen / screensaver anywhere to begin
  • By default, the vibe board opens to a blank white board. At the bottom of the screen look for an icon that resembles a grid of nine squares. This will open the Apps menu.
  • Select the Zoom icon on the screen. This will open the board in split screen view with the white board on half and zoom on the other.
  • Connect to Zoom on your laptop and start a meeting

 

Setting up your laptop & starting a Zoom meeting:
  • Power up your laptop. A presenter’s podium and movable furniture is available in the space for your convenience.
  • Open Zoom: zoom.us
  • Log into your Zoom account and start a meeting. This can be done in three ways:
    • Begin a meeting that was previously scheduled
    • Click the Host button in the upper right corner of the screen
    • Log into Accudemia and begin an online appointment

 

Connecting the Vibe board to your Zoom session:
  • On your laptop, look for a small, green icon in the upper left corner of the screen. It will resemble a small shield. Click this meeting information icon to view information about your Zoom session, including the meeting ID number.
  • Once you have your meeting ID number, return to the Vibe board and select Join Meeting on the Zoom screen. You will be prompted to enter the meeting ID number.
  • On the video preview screen, select Join with Video.
  • The Vibe board’s webcam has a microphone installed. In the lower left portion of the menu, you will be prompted to join audio. Tap this message and select wifi. This will activate the webcam’s microphone.
  • Because the close proximity of the laptop and Vibe board can cause interference, you will likely wish to mute the Vibe board or the laptop’s microphone. You can do this by tapping the microphone icon in the lower left portion of the screen to mute and unmute the device.
  • You can also turn the webcam on and off using the video icon in the lower left portion of the menu.

 

Sharing the Vibe board's whiteboard:
  • On the Vibe board, click the blue Invite button near the top of the screen on the whiteboard side of the display.
  • Use the downward v arrow to the right of the words Get Canvas Code to open the menu.
  • Under Share via link, select Can Edit from the dropdown menu.
  • Next, click the copy link button. This will save the link to the Vibe board's clipboard.
  • Shift to the Zoom half of the board and click the more button on the Zoom menu. Select chat to open the chat box. 
  • Once the chat box opens, press and hold your finger in the text area. Tap the Paste option when it appears.
  • Click the send icon to send the link to all participants.
  • Participants who follow the link will be shown the whiteboard in guest mode. They will be able to see the changes that you make to the white board, but unable to add their own content.
  • If you would like participants to add to the board, ask them to use the login / sign up for free button near the bottom of their screen. They can login using their student Microsoft account by clicking on the Microsoft logo. Note: multiple participants can edit the whiteboard at the same time, as long as they are signed into their accounts.
 
Saving a whiteboard canvas:
  • In the browser version of Vibe Canvas, it is possible to save a canvas as a static .pdf file or a .vibe file that can be used later.
  • Look for the name of the canvas in the upper left corner of the screen.
  • use the V dropdown button and select save as .vibe or save as pdf depending on your preference.
  • If you save a canvas as a .vibe file, you can access it again in the future by visiting https://app.vibe.us/ and logging in.

 

Shutting down devices:
  • When you’ve finished your session, select the End button in the lower left corner of the Zoom window on your laptop. Then, select End Meeting for All. This will end your meeting and disconnect the Vibe board.
  • If you’ve chosen to record your Zoom video to the cloud or your personal laptop, be sure to wait for Zoom to finish downloading the files.
  • Log out of your Zoom account.
  • Press the End button in the lower right corner of the Vibe board screen. A prompt will ask if you would like to end the session and clear the whiteboard. Indicate that you would like to end the session. The board will reload a blank canvas for the whiteboard.
  • Tap the power button on the back for the Vibe board. This will prompt the board to open a pop-up window that asks if you would like to shut it down. Select power off from the menu.
